1. Information we collect
Mind Your Fleet ("MYF", "we", "us") is operated by Eroovo Tech. We collect information in order to run the MYF platform — MYF for Corporate, MYF for Fleets and Marketplace by MYF — for the enterprises, car rental companies and drivers who use it.
Information you or your organisation provide
- Contact and account details — name, work email, phone number, company name, role and login credentials
- Billing details — registered address, GST number, PAN and payment or settlement information
- Trip details — pickup and drop locations, timings, cost centre, co-passengers and booking preferences
- Compliance documents — for drivers and fleet partners: licence, KYC identification, police verification, vehicle registration, permit, insurance and fitness records
Information generated as you use the platform
- Location data — GPS from the driver app or an in-vehicle device while a duty is active, used for live tracking, ETAs, distance calculation and safety escalation
- Duty and audit records — digital duty slips, OTP-verified duty closure events, KM readings, tolls and parking
- In-trip safety signals — SOS presses and, where the customer has enabled it, in-cab audio distress detection
- Device and usage data — device type, operating system, app version, IP address and interaction logs
2. How we use your information
- Running the service — creating and dispatching duties, assigning vendors and drivers, tracking trips and closing them with verification
- Billing and reconciliation — generating invoices, matching trips to contracted rates, flagging anomalies and processing settlements
- Safety — live tracking, SOS and distress escalation to the 24×7 control room, and speed or route violation alerts
- Verification and compliance — validating driver, vehicle and fleet partner documents before they are allowed on the network
- Support and communication — booking confirmations, trip updates over SMS, email or WhatsApp, and responses to your queries
- Improving the platform — analysing usage patterns in aggregate to improve features and reliability
- Legal and contractual obligations — meeting statutory requirements and our commitments to the enterprises and fleet operators we serve
We do not sell personal data. We also do not use your trip data to build advertising profiles.
3. Information sharing
MYF sits between several parties to a trip, so some data necessarily moves between them:
- Between the parties to a duty — the booking enterprise, its contracted car rental vendor and the assigned driver each see the details needed to fulfil that trip. Drivers see pickup, drop and passenger contact details; enterprises see vendor, vehicle and driver details
- With your employer — if you are an employee booking through a corporate account, your trip records, routes and fares are visible to your organisation's administrators, travel desk and finance teams
- Through Marketplace by MYF — when a contracted vendor cannot cover a duty, the minimum details required to fulfil it are shared with the backfilling fleet partner
- With service providers — vetted vendors for cloud hosting, communications, mapping and payments, engaged under contract and permitted to use the data only for those services
- With authorities — where required by law, court order, or to investigate a safety incident or fraud
- In a business transfer — if MYF or Eroovo Tech is involved in a merger, acquisition or asset sale, data may transfer as part of that transaction
4. Data security
- Encryption in transit using TLS across web, app and API traffic
- Role-based access control, so users see only what their role requires
- Audit logging of actions taken inside the consoles
- Periodic security review and access recertification
- Confidentiality obligations and data-protection training for staff
We take these measures seriously, but no system connected to the internet can be guaranteed absolutely secure. We commit to maintaining industry-standard protections and to notifying affected customers promptly if a breach materially affects their data.
5. Cookies and tracking
Our website and consoles use cookies and similar technologies to keep you signed in, remember preferences such as your chosen language, understand how the site is used, and improve performance. You can control cookies through your browser settings, though disabling them may affect functionality such as staying logged in.
6. Your rights
Subject to applicable law and our contractual obligations, you may:
- Access — request a copy of the personal data we hold about you
- Correct — ask us to fix inaccurate or incomplete information
- Delete — request deletion, where we are not required to retain the data for statutory, audit or contractual reasons
- Port — request your data in a structured, machine-readable format
- Object or restrict — object to certain processing, or ask us to restrict it
- Withdraw consent — where processing is based on consent, withdraw it at any time
If you are an employee or a driver, much of your data sits under an account controlled by your employer or fleet operator. In those cases the fastest route is through them — but you can always write to us and we will help route the request.
7. Data retention
We keep personal data for as long as it is needed for the purpose it was collected, and for as long as required afterwards by law or contract. In practice:
- Trip, duty-slip and invoice records are retained for the statutory period applicable to tax and audit requirements in India
- Driver and vehicle compliance documents are retained while that driver, vehicle or partner is active on the network, and for a period afterwards for audit purposes
- Location traces are retained for the operational and dispute-resolution window agreed with the customer
- Account records are retained while the account is active
After the applicable period, data is deleted or irreversibly anonymised.
8. Third-party services
The platform integrates with third-party services including payment gateways, mapping and navigation providers, communication channels such as SMS and WhatsApp, and analytics tools. We may also integrate with your own systems — HRMS, ERP or SSO — at your instruction. These third parties handle data under their own privacy policies, which we encourage you to review. Links from our site to external websites are not covered by this policy.
9. Children's data
The MYF platform is a business product and is not directed at children. We do not knowingly collect personal data from anyone under 18. Where an enterprise books transport for a minor as part of its programme, that booking is made and controlled by the enterprise, and the passenger details are processed on its instructions.
10. Changes to this policy
We may update this policy as the platform and the law evolve. We will post the revised version on this page and update the date above; where changes are material, we will notify account holders by email or through a notice in the product. Continuing to use the platform after a change takes effect means you accept the revised policy.
